Assists customers, dealers and third party vendors in resolving unusual situations regarding vehicle tags and titles, checks title applications in preparation for mailing to the State of Alabama. Balance reports, assist with mail and complete administrative tasks as assigned.

Essential Job Functions

  1.  Performs duties of an assigned segment of the vehicle division of the Probate Judge’s which includes tag issuance, title applications, calculating and collecting taxes due.
  1. Assist customers, dealers and third party vendors in obtaining tags and titles by explaining requirements and handling unusual situations via phone, mail and electronic services.
  2. Contacts State Revenue Department to obtain information to resolve questions.
  3. Answer phone lines as assigned.
  4. Fill in for the Community Tag Clerk as assigned.
  5. Complete Renewal Notices via mail or electronic mail as assigned.

 

  1. Provides information to the Vehicle Registration Supervisor as needed and completes administrative duties and reports as assigned.
  1. Coordinates with the Vehicle Registration Supervisor to reconcile monthly reports and refunds.
  2. Submit unresolved problems with titles.
  3. Balance titles and report unresolved problems to the Vehicle Registration Supervisor.
  4. Perform the MLI report and report unresolved problems to the Vehicle Registration Supervisor.
  5. Perform the Sales Tax report and submit unresolved problems to the Vehicle Registration Supervisor.
  6. Email Sales Tax Report errors to the clerk that made the error and copy the Vehicle Registration Manager, Vehicle Registration Supervisor and Vehicle Registration Trainer.
  7. Perform the monthly No Values report to ensure vehicle registrations are mailed our correctly and email the Vehicle Registration Supervisor with the completed report and any unresolved issues.
  8. Complete updates in Teams as assigned by Vehicle Registration Manager, Vehicle Registration Supervisor and Vehicle Registration Trainer.
  9. Complete updates in Procedures Manual or Training Manual as assigned by Vehicle Registration Manager, Vehicle Registration Supervisor and Vehicle Registration Trainer.
  10. Assist with renewals or titles for in person transactions as instructed by the Vehicle Registration Supervisor or Vehicle Registration Supervisor.
  11. Orders supplies, such as tags, title forms, receipts, and other supplies needed by clerical staff.

 

Knowledge, Skills, and Abilities

  1. Knowledge of the Code of Alabama and Office procedures as it pertains to the collection of taxes and fees associated with vehicles
  2. Knowledge of the principles of management and supervision
  3. Knowledge of the Office of the Probate Judge operating policies and procedures
  4. Knowledge of Business English, spelling, and arithmetic
  5. Knowledge of modern office practices, procedures, and equipment
  6. Ability to read and understand written instructions, directives, manuals, laws, and regulations
  7. Ability to balance money collected on a daily basis.
  8. Ability to communicate with peers, supervisors and the general public in a polite manner

 

Minimum Qualifications

High school diploma or GED certificate plus experience working in a probate office.
