**Current Employees ONLY** Vehicle Registration Training Coordinator
Performs clerical tasks in the Vehicle Registration division of the Probate Department, which involves answering questions, examining documents, issuing tags and training. The incumbent will assure that proper documentation is received, calculate taxes and collect fees prior to issuing tags. Individuals are required to maintain and balance a cash drawer, assist the public in locating documents and making copies of documents. The Training Coordinator also assumes the duties of the Vehicle Registration Supervisor and the Vehicle Registration Manager if he/she is not available.
Essential Job Functions
- Supervision
- Assists in the training and supervision of 20+ clerks in resolving unusual situations regarding vehicle tags and titles, checks title applications in preparation for submitting to the State of Alabama, balance reports and assist in training new employees.
- May be supervising a group of clerical employees engaged in collecting money due in connection with issuing tags, and title applications for vehicles
- Plans, organizes and assigns the work of the tag line, taking care to ensure that there is adequate staff during peak work times
- Assist in scheduling and approving vacation and time off for clerical staff
- Assist in counseling employees regarding job performance and completing performance evaluations
- Assists the public in obtaining tags and titles by explaining requirements, and handling unusual situations
- Contacts State Revenue Department or Ingenuity to obtain information to resolve questions
- Answer clerk’s questions and assist the public with questions
- Corrects transactions as needed
- Greet Customers, ensure they are in the correct line and have the correct paperwork
- Cross train in the accounting, mail, fleet and reports functions to fill in as needed
- Serves as the first line supervisor for the vehicle registration line
- Assumes functions of Vehicle Registration Supervisor or Vehicle Registration Manager in his/her absence
B. Training
- Training new employees and existing employees as needed assigned to the division
- Counsel trainees regarding job performance and completes performance evaluations
- Performs spot checks to ensure work of staff is correct
- Office Orientation – Introduce new employee to coworkers and other areas of the Probate Office
- Show new employees his/her workstation, office area, breakroom, restroom, emergency exits and other pertinent information in the department
- Explain work schedule, breaks, lunches and other information regarding their position or office policies
- Review policy manual and complete new employee documents
- Ensure new employees are set up in all computer systems
- Maintain and update training manuals and job aids. Send updates to the Vehicle Registration Supervisor for approval prior to updates.
- Inform the Vehicle Registration Supervisor and Vehicle Registration Manager of any recurring issues with employee
C. Customer Service
- Issues motor vehicle tags and titles when proper documentation is presented and required payments are made.
- Assess vehicle, verify description and identification number, including mileage if out of state title is needed. If vehicle is from out of state, input initial data, verify from out of state title and visually inspect
- Examines existing title, title application, bills of sale, and other documentation regarding the request for issuing a tag to assure that all documents are correct
- Process and verify all title reports
- May operate satellite office on scheduled days
- Calculate and collect appropriate taxes and fees required prior to issuing tag
- Process requests for mailing tags and/or decals by keying in information, verifying receipt of proper amount of money, and mailing tag and/or decals to citizens
- Answer questions, inform citizens of how deficiencies can be corrected
- Fill tag bins with proper tags
- Scanning tag documents and indexing them
- Answer phones and directs customer inquiries to appropriate areas
- Voiding receipts
- Entering values on vehicles (Calling State and entering values)
- Reprinting receipts
- Print numerous reports to process tags to be prepared for renewals online
- Approve address changes and insurance/driver license information online
- Insert records numbers when they are missing on tag renewals so customers can renew tags online
- Answer phone and respond to any questions customers may have on phone
- Balance and enter daily reports
Knowledge, Skills, and Abilities
- Knowledge of basic mathematics sufficient to operate cash drawer and make calculations
- Knowledge of modern office practices, procedures and equipment
- Knowledge of basic filing systems and coding methods, including alphabetical, numeric, indexing methods, etc.
- Ability to communicate both verbally and in writing
- Ability to read and comprehend departmental rules, regulations, procedures and instructions
- Ability to understand verbal instructions and directions
- Ability to perform moderately complex mathematical calculations, with or without a calculator
- Ability to operate basic office equipment, including computers and optical scanning equipment
- Ability to establish and maintain effective working relationships with other employees and the public
- Ability to interact with the public, coworkers and trainees to provide information in a polite and efficient manner both in person and on the telephone verbally explain the rules and procedures to the citizens in a clear and courteous manner
- Ability to perform data entry at an error free rate equivalent to 40 words per minute
- Ability to make decisions in accordance with precedents and regulations and to apply them to work situations
Minimum Qualifications
Must possess high level of knowledge and experience within the Probate office, to include responsibilities and duties of Probate Clerks. Knowledge of departmental county policies, procedures, rules and regulations as well as knowledge of Alabama laws pertaining to the operations of the department. Ability to keep records, make accurate reports and filing correctly. Top candidates that are considered may interact with hands on/live situations prior to the position being offered.
