Elections Specialist - Starting $17.11/hour
This position requires heavy lifting, loading/unloading, and hauling voting equipment using a truck or van with an enclosed trailer attached, scheduling the delivery and retrieval of voting equipment to and from the voting places and poll schools.
Elections Specialist assists in the following duties: preparing training materials and manuals; preparing for and conducting poll school, maintaining a running list of potential poll workers; maintaining and updating street files, district assignments, polling place information, providing reports and election information to political parties, candidates, media and public; preparing publications required by law; preparing and conducting poll school; preparing rosters and maintaining district maps for municipalities and their elections.
Essential Job Functions
Election equipment maintenance, inspection, and security
- Responsible for election equipment security and storage, maintaining a clean climate controlled environment
- Coordinate and be present at facility with vendors for scheduled maintenance and repairs
- Perform maintenance, repair parts, order and replace parts as necessary
- Responsible for security of voting precinct keys
- Inspect and charge election equipment monthly
Election equipment testing
- Prepare calendar for testing of election equipment for each election
- Oversee voting machine testing prior to all elections
- Make appropriate contacts with vendor to arrange testing of machines
- Install data cards
- Run pre-election test on machines and ballots
- Check ribbons/ink cartridges and paper rolls and replace as needed
- Configure data cards and machines
- Seal machines and deliver test tapes/test ballots to Probate Judge
- Prepare for public examination of voting equipment
Election equipment trailer maintenance
- Check and request replacement parts and maintenance as necessary
- Periodically check tires and brakes
- Keep trailer in clean working condition, inside and out
- Maintain security straps and organizational shelving inside
Election equipment and supplies delivery, placement, and pick up
- Prepare calendar for delivery and pick up of election equipment and supplies for each election and training
- Coordinate with Community Corrections for trustee assistance in delivery and pick up of voting machines and supplies
- Pick up trustees at Community Corrections and return them when delivery and work is completed
- Supervise Trustees while working with them
- Load, unload, and secure election equipment and supplies into and out of trailer
- Drive truck and haul election equipment trailer to deliver and pick up equipment and supplies
- Deliver and lock in secure location, election equipment/supplies to designated voting locations before each election
- Pick up election equipment/supplies from voting locations and return to storage
- Inspect and secure election equipment and sort supplies after each election
Polling Places
- Inspect and periodically assess polling places to ensure HAVA compliant, operational and available for elections
- Maintain files on each polling place containing photos, diagrams and ADA compliance check sheets
- Assist in new polling place inspections, take pictures and create a file on location
- Assist in providing county commission with necessary information regarding changes to polling places and /or upgrades
Election Training
- Use voting equipment trailer with a truck and deliver election equipment to poll schools
- Instruct inspectors and poll workers on operation of voting equipment
- Assist in training department supervisors and clerks on basic operations and troubleshooting of election equipment, proper polling place opening/closing procedures and providing assistance to poll workers
Assist Probate Judge and Elections Supervisor in all areas of elections as requested
- Monitoring polling places on election day,
- preparing publications, ballot styles, and ballot proofing, training materials, materials and supplies for election day, and distribution of ballots and supplies
- preparing and uploading voter list to electronic poll books, delivery of ballots and supplies and request trustee assistance with unloading and sorting, and inventory of election equipment and supplies
- re-districting changes, political party’s/candidates with information requests
- election day set up in office, provide media with information requests, handling complaints, and preparing office for returns
- preparing for post-election audits and automatic recounts if necessary
- Cross train in all duties of the Elections Supervisor and serve as a backup as needed
Training and Education
- Maintain knowledge of election laws, updates, procedures and practices, and election equipment
- Establish and maintain a working relationship with elected officials, candidates, poll workers and the general public
- Assist in election education classes for local schools

Minimum Qualifications
High school diploma or G.E.D. certificate, possess valid driver’s license prior to and during employment of this position.
