Sheriff's Clerk- Jail Division- Starting Salary $15.48

Performs administrative support services for the Houston County Sheriff’s Office – Jail Division. This job description is designed to capture the essential clerical duties of all; therefore a Sheriff’s Clerk may or may not perform all tasks on this job description depending on where they are assigned. This position requires regular and prompt attendance plus the ability to work well with others and work well as a team.

Essential Job Functions

  1.  Answers incoming telephone calls and routes appropriately.
  2.  Responds to inquiries from visitors and individuals who call.
  3.  Responds to all inquiries in a polite manner.
  4.  Cross train positons and be prepared to perform other duties as assigned.
  5.  Forwards Daily Inmate Report to designated court/legal entities and bonding companies.
  6.  Researches and registers all convicted sex offenders in Houston County. Ensures the offender reads and signs acknowledgement of sex offender registration laws and acknowledgement of SORNA (Sex Offender Registration Notification Act) violations that apply.
  7.  Maintains up-to-date files and records of sex offenders in Houston County and sends reports to ABI (Alabama Bureau of Investigations) on convicted and reporting sex offenders as required.
  8.  Researches and maintains appropriate court documentation and records on all juvenile and youthful offender registrants separate from all adult offenders by SORNA regulation.
  9.  Performs tasks related to receiving and receipting all offender fees required by SORNA law.
  10.  Registers and maintains up-to-date records of convicted felons in Houston County.
  11.  Processes Sheriff’s Office-Jail Division payroll; checks timesheets for accuracy and completeness.
  12.  Maintains records of days off, annual leave, holiday hours earned/taken, sick leave, compensatory hours, etc.
  13.  Communicates with Houston County Personnel staff regarding potential problems with submitted payroll data.
  14.  Responsible for maintaining up-to-date employee records and ensures that copies are sent to the Houston County Sheriff’s Office when required.
  15.  Files jail forms and inmate records as required.
  16.  Submits reports to Social Security for stop payments as required.
  17.  Maintains up to date Inmate Visitation Forms for each active inmate.
  18.  Acts as scheduling coordinator for attorney/inmate consultations and other jail visitors including but not limited to clergy, bonding agents, and SpectraCare.
  19.  Responsible for maintaining up-to-date records of inmate sanctions and inmate segregated housing.
  20.  Monitors and records incoming and outgoing inmate mail. Sorts incoming mail for distribution to inmates. 
  21.  Responsible for maintaining records of jail meals sent to other facilities and billing the facility for payment.
  22.  Responds to inmate requests as required.

  6. Knowledge of state and federal laws pertaining to sex offender registration and notification.
  7. Knowledge of law enforcement, criminal justice, and court terminology.
  8. Ability to deal with people in a polite and diplomatic manner.
  9. Ability to perform basic arithmetic operations.
  10. Ability to complete forms and type correspondence.
  11. Ability to read and understand court records and documents, law changes and policy procedures.
  12. Ability to interact efficiently with the office of the courts and provide information in a professional manner.
  13. Ability to work independently without close supervision.
  14. Ability to maintain confidential and/or investigative materials.
  15. Ability to multi-task and work in a fast paced environment.
  16. Ability to travel and attend seminars and training when required.
  17. Ability to articulate, with care and clarity, the Sheriff’s Office position on issues, which may be sensitive.
  18. Ability to make decisions quickly and in accordance with policy and regulations.
  19. Ability to deal with a wide range of persons, including situations in which individuals may be upset over some issue involved with the Houston County Sheriff’s Office activities and policies.

 

Working Conditions

Work is performed in a secured facility with an inmate population. Work is performed in an office environment with extensive time spent at a computer work station. Work is performed in an environment where decisions could lead to major community or organizational consequences if appropriate decisions are not made. Minimum Qualifications

High school diploma or GED certificate plus one year of clerical experience. Previous experience in a legal or law enforcement environment is preferred but not required. Must possess a valid driver’s license. Required to be bondable for Notary Public Commission. All applicants will be required to submit to a thorough background investigation prior to employment. Other minimum qualifications are at the discretion of the Houston County Sheriff.
